Reply to Parent Letters
This guide explains how to respond to parent letters.
What are Parent Letters?
Parent letters are official communications from the daycare to the parents of a group or an entire location. They can have various response formats:
| Response Type | Description |
|---|---|
| Informal | For your information, no reply needed |
| Reply possible | You can write a text reply |
| Reply required | A reply is needed, usually with a deadline |
| Survey | Questions with single or multiple choice, possibly free text fields |
| Poll | Yes/No vote or selection from options |
| Table | You fill in rows in a structured table |
Open Parent Letters
1. Access Parent Letters
Click on the parent letter icon (paper plane) in the header. A red badge shows unread letters.


2. Select a Letter
The list shows for each letter:
- Subject
- Unread badge (if not yet opened)
- Date of publication
- Group or location (recipient scope)
- Author
Click on a letter to open it.
3. Read and Reply
Read the letter content. Depending on the response type, you will see different options at the bottom of the letter:
Text reply:
- Enter your reply in the text field
- Click Submit
Survey:
- Answer the individual questions (single choice, multiple choice, or free text)
- Click Submit
Table:
- Add rows or fill in the provided fields
- Click Save


Change Your Reply
You can change your reply as long as the deadline has not expired:
- Open the parent letter again
- Change your reply
- Click Submit or Update
Watch the deadline
Some parent letters have a response deadline. After the deadline has passed, you may no longer be able to reply. The deadline is shown in the letter.
Attachments
Parent letters can contain file attachments (e.g., PDF documents, images). Click on the file name to download the attachment.
