Create Parent Letters

This guide explains how to create and send parent letters.

What is a Parent Letter?

Parent letters are official communications to the parents of one or more groups. Unlike messages, they offer extended response options and are displayed separately under "Parent Letters".

Create a Parent Letter

1. Open Parent Letters

Click on the parent letter icon (paper plane) in the header.

2. Create New Letter

Click Create Letter.

3. Select Recipients

Select one or more groups as recipients. A separate letter will be created for each selected group.

4. Write Content

  • Subject: Brief description of the letter
  • Message: The letter content. Markdown formatting is supported -- you can see a live preview on the right.

5. Add Attachments (optional)

Click Choose files to upload attachments (up to 5 files: PDF, PNG, JPG, GIF).

6. Choose Response Type

Select the desired response type:

Type Description
Informal No response expected
Reply possible Parents can optionally reply
Reply required Parents must reply (with deadline)
Survey Questions with single/multiple choice and free text (with deadline)
Table Parents fill in rows of a structured table (with deadline)

Create a Survey

When selecting "Survey":

  1. Click Add question
  2. Choose the question type: single choice, multiple choice, or free text
  3. Enter the question and response options
  4. Add more questions as needed
  5. Optional: Anonymous (responses without names) and Hide results (parents don't see a summary)

7. Delegation and Review (optional)

  • Delegation: Assign the letter to another employee for editing
  • Reviewer: Select a colleague to review the letter before sending

8. Save or Send

  • Save as draft: Letter is saved but not sent
  • Publish: Letter is sent directly to parents
  • Submit for review: Letter is presented to the reviewer (if a reviewer was selected)

View Responses

  1. Open the sent parent letter
  2. You can see:
    • Who has read the letter
    • Who has responded and what answers were given
    • Who has not yet read/responded

Edit or Delete Letter

  • Edit: Click the edit icon next to the letter in the list
  • Delete: Click the delete icon and confirm

News vs. Parent Letters

For general information without a need for responses, use News instead. Parent letters are for communications where you need feedback from parents.
